About the role:

In this role, you will work with clients to build meeting & event website invitations and will manage meeting attendee logistic details and interact directly with meeting attendees to answer their questions, validate information and ensure success (or to support a successful event.)

As a Website/Housing Specialist you will:

  • Consult with clients on the requirements for their website and ensure they meet the specific needs of each event, are clear, concise and easy to navigate.
  • Build and manage changes to the registration website, event app, surveys and custom reporting.
  • Field questions directly from attendees and update their registration profiles with any changes.
  • Advise accurate timelines and deliverable deadlines to ensuring launch dates are achievable.
  • Monitor registrations, send reminders, run and cross check (validate) reports and work with your teammates and clients to make sure every detail has been covered.
  • Validate that every attendee has the correct hotel room, airline reservation and their special requests are accommodated and confirmed.
  • Investigate all discrepancies to ensure all registrations are correct.
  • Manage key dates with hotels to ensure deadlines are met.
  • Create and send clear communications.
  • Interact directly with internal clients, meeting attendees, hotels, travel companies and more.
  • Ensure everyone, from client to attendee to staff person has a positive and memorable experience from invitation stage, through onsite, and departure. We aim to please!

What we’re looking for

  • Previous Meeting Planning Experience, Hotel Experience our Travel/Tourism Experience
  • Extremely strong English skills (verbal, written and editing) over 90% desirable
  • Communicating with people via email and via phone
  • Strong attention to detail
  • Analytical thinking; ability to independently and through collaboration troubleshoot to achieve efficient and effective registration processes
  • Managing multiple priorities and being adaptable. You have exceptional problem-solving skills, are calm under pressure
  • Providing superior customer service
  • Tech savvy (will be working in Cvent) Eye for marketing
